Terms and Conditions for Membership Studievereniging Sinologie (SVS).

The SVS utilizes personal data provided by its members to deliver its services. By registering as a member, you agree to the following terms. Membership is paid for the period from July 1 to June 30. If a member registers after July 1, the membership is valid until the next June 30, after which it must be renewed. A member must be enrolled in the Chinese Studies program, or any of the program’s courses, during this period. It is the member’s responsibility to verify their enrolment status and notify the association accordingly.

Article 1: Relevant Data
Each member agrees to the storage and processing of the following data during their membership:
– First and last name
– Date of birth
– Bank details
– Address
– Telephone number
– Study details
– Special dietary needs and allergies
Article 2: Purposes of Data Collection
The data collected by SVS is used to achieve the following objectives and provide the following services:
– Processing payments
– Sending newsletters and member emails
– Informing about changes to services and products
– Enabling account creation
Article 3: Use of Images
SVS creates visual material from various sources, including activities. This material may be shared on the website. Group photos may be used for promotional purposes, the “Krant met Karakter,” in the newsletter, and the yearbook. Photos of individuals may also be shared on these platforms, provided that the individuals give prior consent. By registering, a member conditionally consents to the use of these photos for the stated purposes. Each member has the right to request the removal of photos by emailing bestuur@svsleiden.nl.
Article 4: Visitors Under 16
Our website and/or service does not intend to collect data on website visitors under the age of 16, unless they have parental or guardian consent. However, we cannot verify the age of a visitor. We recommend that parents be involved in their children’s online activities to prevent data collection without parental consent. If you believe we have collected personal data about a minor without consent, please contact us at bestuur@svsleiden.nl, and we will delete this information.
Article 5: Direct Debit and Membership Renewal
By registering as a member, members agree that SVS may automatically renew the membership in subsequent years via direct debit. If members wish to cancel their membership and the associated direct debit, they can email bestuur@svsleiden.nl before July 1 to avoid membership for the following year. If the email is sent on or after July 1, it applies to the subsequent year, and the member remains enrolled until the next June 30. It is the member’s responsibility to notify the association when they are no longer a China Studies student.
Article 6: Sharing Data with Third Parties
SVS does not sell data to third parties and will only share data if necessary to perform its services or comply with legal obligations.
Article 7: Accessing, Modifying, and Deleting Data
Each member has the right to access, modify, and delete their own data. If a member wishes to do so, they can email bestuur@svsleiden.nl to view and, if necessary, change or delete their data. Modifying or deleting data may affect the provision of certain services. It is the member’s responsibility to report and verify changes in data.
Article 8: Data Security
SVS takes the protection of your data seriously and implements appropriate measures to prevent misuse, loss, unauthorized access, unwanted disclosure, and unauthorized modification. If you believe that your data is not properly secured or there are indications of misuse, please contact the board at bestuur@svsleiden.nl.
Article 9: Safe Environment
Within SVS, there is no room for racist, sexist, or other offensive remarks. In the event of violations, the board follows the protocol for inappropriate behaviour and imposes appropriate sanctions. This applies to all digital and physical platforms associated with SVS. See our guidelines as described in the Diversiteits- en Inclusiviteitsbeleid.
Article 10: Code of Conduct
- All members of SVS are treated equally at all times. Any form of discrimination is not allowed.
- Encouragement or execution of any form of violence and physical abuse is prohibited.
- Encouragement or execution of any form of hate and psychological violence is prohibited.
- Deliberate misrecognition of the identity of any member is prohibited.
- Any member who deliberately acts against the SVS code of conduct will be proportionally punished according to the Protocol.
- The SVS code of conduct applies only to behaviour during activities and within communication spheres directly connected with SVS and communication between members, committee members, chairpersons, and board members. Information remains confidential within SVS and its board members.
Article 11: Refunds
Members can request a refund up to 72 hours before an event they cannot attend. In cases of force majeure, refunds can be requested up to 24 hours in advance. Refunds can only be requested for SVS activities. No refunds are available for pre-orders, memberships, or activities requiring personal identification to third parties.
Article 12: Complaints Procedure
Members can submit complaints via bestuur@svsleiden.nl or raise them during the General Member Assembly (ALV).
Article 13: Changes to the Terms and Conditions
SVS reserves the right to change these Terms and Conditions. Members will be informed of substantial changes via member emails.
